What data we collect
- Quote requests: name, email, tax number (when provided), language combination, requested delivery date and the files you send us.
- Contact messages: name, email and the text of your message.
- Virtual assistant: conversations are not stored (see «Virtual Assistant»).
- Technical browsing data: IP address and access data recorded by the server, for security reasons, and — only with your consent — usage statistics (see «Use of Cookies»).
Data Collection and Processing
When using our services, especially when sending files for translation through our website, personal and/or sensitive data contained in those documents may be collected. This information is treated with complete confidentiality, exclusively for the purposes of providing the requested service.
Why we use your data and on what legal basis
- Answering your request and preparing a quote — pre-contractual steps taken at your request.
- Providing the translation, proofreading or interpreting service you hired — performance of a contract.
- Issuing invoices and meeting tax obligations — legal obligation.
- Protecting the website against spam, abuse and unauthorised access — legitimate interest of GT Traduções.
- Website usage statistics — your consent, which you may withdraw at any time.
Information Security
We implement strict IT security measures to protect your data. Files sent to us are stored in encrypted form and can only be accessed by professionals directly involved in the translation. We follow technical and organisational procedures designed to prevent unauthorised access, loss, disclosure, or improper alteration of information.
Confidentiality and Non-Sharing of Data
GT Traduções undertakes not to share, disclose, or transfer to third parties any information sent by clients, except where legally required or with the express consent of the data owner. Confidentiality is at the heart of everything we do.
To operate, the website relies on service providers that process data only on our behalf, following our instructions and bound by confidentiality: website hosting and technical maintenance, email service, website delivery and protection network (Cloudflare) and, if you allow it, usage statistics (Google Analytics). Some of these providers may process technical data outside the European Union, always with the safeguards required by the GDPR, such as the standard contractual clauses approved by the European Commission.
Virtual Assistant
The assistant available on the website is AI-generated and answers based on public information about our services. It is only meant to answer questions and route requests: it does not make decisions about you and does not replace contact with our team.
- The assistant does not store conversations. Each message is processed only at that moment, to generate the answer, and is not recorded — neither the text nor the IP address.
- Processing takes place on servers located in the European Union, without sending anything to third-party artificial intelligence services.
- For statistical purposes we only count the number of conversations per month, with no data about who had them or what they said.
- If you leave your name and email in the assistant, they are sent to our team only to answer the request you made, and handled like a contact message.
- Do not send documents or sensitive data (health, identification, banking details) through the assistant. To request a translation, please use the quote form.
Use of Cookies
Our website uses cookies, small files stored on your device:
- Necessary cookies, always active: they remember your chosen language, your cookie choice and keep the forms working.
- Statistics (Google Analytics): only activated if you click «Accept» in the cookie notice. They help us understand how the site is used, so we can optimise its performance and content. If you click «Decline», they are not activated.
You can change your mind at any time by deleting this website’s cookies in your browser: the notice will appear again on your next visit. You can also configure your browser to block or delete cookies.
Data Subject Rights
Under the General Data Protection Regulation (GDPR), you have the right to access, rectify, erase, or restrict the processing of your personal data. You may also object to the processing, request data portability and withdraw any consent you have given, where applicable.

How long is your data retained?
The data and documents sent for translation are stored only for the time necessary to provide the contracted service. After delivery of the translation, the files may be kept for a maximum period of 90 days, in order to ensure any revisions or clarifications requested by the client.
At the end of this period, the documents are securely deleted from our systems, unless there is a legal or contractual requirement that justifies their retention for a longer period.
- Quote requests and contact messages: for as long as needed to answer them and follow up on any resulting service.
- Virtual assistant conversations: not stored.
- Billing data: for the period required by tax law.
